Microsoft PowerPoint – Inserting Video into a Presentation

PowerPoint presentations can inadvertently be a great sleep inducer. Why subject your audience to yet another one of those boring presentations? It’s time to add some pizzazz into your next presentation! One way to do that is by incorporating video clips. You can explain a concept more clearly through the use of a video rather than only bullet points on a slide.

With today’s technology, it’s very easy to capture video on your phone or digital camera. Just upload the video clip onto your computer or email the file to yourself and then save it into a Video folder on your computer.

Here are some simple steps on how to insert video into your presentation.

1. Ensure that your video clip is in the right format. For example PowerPoint 2010 supports the following formats:

  • .asf
  • .avi
  • .mpg
  • .mpeg
  • .swf
  • .wmv

Show Stopper Tip: Ensure that your PowerPoint file and your video clip (the video you will be embedding into your presentation) are both in the same file folder. This enables your presentation to be portable. You can copy the entire file folder onto a USB jump drive to run the presentation on a different computer.

2. Open your PowerPoint presentation file.

3. Click on the slide where you wish to embed your video.

    1. Optional: Change the slide background color.Tip: I recommend changing the slide background to a black color on the slide that has the video, so all the attention will be given to the video when running the presentation.Click on the Design (Ribbon Tab) > Background (Group) > Background Styles button. Since you will most probably be applying the black background to just that one slide, you will need to right-click on the black background thumbnail option and select Apply to Selected Slides. This will apply the black background to just that one slide and not to all the slides in your presentation.Microsoft PowerPoint – Inserting Video into a PresentationNote: If you accidentally left-click on the black background thumbnail option and change the background on all of your slides in your presentation to black, not to worry. Just click on my best friend, the Undo button, or use the keyboard shortcut [CTRL]-Z, to undo that change and proceed with step #3A again.

 

4. On the Ribbon, choose Insert (Tab) > Media (Group). Click on the bottom half of the Video button, the button with the down arrow.

5. From the drop down list, click Video from File.

Snippet™ Training Lesson – Part 2

1. Navigate to the folder where your video file is located. Double-click on the video file. Voila! Your video is now embedded into your slide. It’s that easy!

2. Test your video within PowerPoint. Click on the Play/Pause button at the bottom of your video. If you don’t see this button, just roll your mouse over the bottom edge of your video frame to display it.Microsoft PowerPoint – Inserting Video into a Presentation

3. To test the video in Slide Show mode, click on the Slide Show view button found on the lower right hand side of your screen.

Keyboard Shortcut Tip: To begin your Slide Show presentation from the beginning, just press the [F5] function key button found in the top row of buttons on your keyboard.

Troubleshooting Note: If, for some reason you have a video with one of the file extensions listed in item #1and the video isn’t working, you may need to use Microsoft Media Player to open the video clip and then resave the file with the same file extension.
